About Our Client

Our client in the Insurance Sector is seeking a Site Coordinator & Maintenance Planner to strengthen their team. This role is positioned within the Asset Management team at the Hoboken site, focusing on non-process-related infrastructure maintenance and repairs. The team manages projects internally rather than outsourcing them, requiring a hands-on professional to oversee and coordinate site maintenance and repair activities.

Role Overview

The Site Coordinator & Maintenance Planner is responsible for the planning, coordination, and execution of maintenance and repair projects across the industrial site. The role involves both operational management of daily repairs and the strategic development of planned maintenance programs.

Key Responsibilities:

Operational: Daily Repairs & Maintenance Execution

Receive and manage repair requests via SAP notification system.

Scope, plan, and coordinate repairs and small construction projects.

Collaborate with production teams and contractors to ensure timely execution.

Supervise work execution, ensuring compliance with safety standards (Seveso-site).

Handle the administrative process, including purchase orders (Ariba), work permits (SharePoint), contractor registration (OnyxOne), and cost approvals (Excel).

Organize and lead meetings with internal clients to efficiently follow up on multiple tasks.

Strategic: Planned Maintenance Approach

Identify recurring infrastructure issues and develop structured maintenance programs.

Conduct inspections, group assessments, and create phased planning strategies.

Work closely with asset managers, project engineers, and designers to define execution plans.

Advise on renovation techniques and ensure best practices in infrastructure maintenance.

Example Programs:

Setting up inspection and repair plans for roads, intersections, and concrete/asphalt pavements.

Inspecting structures, buildings, and facilities to create maintenance schedules and budget forecasts.

Organizing planned inspections and repairs for retaining walls, floors, and storage boxes.

Candidate Profile

Technical Requirements:

Minimum 5 years of experience in site coordination, maintenance planning, or construction supervision.

Bachelor's or Master's degree in Civil Engineering or equivalent experience.

Experience in managing site meetings, contractor coordination, and reporting.

Strong safety awareness, with knowledge of Seveso and construction safety regulations.

Proficiency in MS Office (Excel, Outlook, OneNote, Teams, PowerPoint).

Knowledge of SAP, SharePoint, and AutoCAD is a plus.

Non-Technical Requirements:

Strong organizational and communication skills.

Customer-focused and result-oriented approach.

Ability to work independently and take ownership of tasks.

Experience leading small teams and working in industrial environments.

Certifications:

VCA for Managers (Mandatory).

Additional safety training is a plus.

Language Requirements:

Fluent in Dutch & proficient in English.

Work Environment & Practical Details

Fully onsite role (100%) in Hoboken.

Working hours start early (7:00 AM - 3:30 PM) due to contractor schedules.

Remote work is not feasible due to the hands-on nature of the role.
